Privacy Policy

How we handle the information of churches and artists who use Hymn & Hue. This is a plain-language summary and our current policy, not legal advice.

Last updated: 2026. Hymn & Hue is a product of Well Made Decisions LLC ("we," "us").

This policy covers two things: visitors to this website (hymnandhue.org), and the churches and artists who use the Hymn & Hue platform to run an arts ministry.

The short version

Artists own their artwork and give permission for it to be shown. Churches own their ministry's records. We store submissions, images, descriptions, and audio so your gallery, cards, and archive work. We never show an artist's private contact information on the public gallery, we do not sell personal information, and we do not use your content or images to train any model.

Visitors to this website

Browsing hymnandhue.org does not require an account. We use only the minimal, privacy-respecting analytics needed to understand traffic, and we do not sell or share visitor data. If you email us or submit the "Get Started" form, we use your message only to respond to you.

What we collect

  • Church and admin accounts: the names, email addresses, and roles of the leaders you invite to run the ministry.
  • Artist submissions: the name, the piece image, title, medium, inspiration scripture or theme, descriptions, optional audio, an optional sale price, the artist's contact detail (kept private), and the statement-of-faith acknowledgement with its version and date.
  • Basic usage and billing data: standard technical logs to keep the service running, and the billing records for your church's subscription.

For artists: what you agree to when you submit

When you submit a piece, you are giving your church and Hymn & Hue permission to display it publicly. Specifically, you agree that:

  • The name you choose is shown with your work. You decide what that is: your full name, a first name and an initial, or a pen name.
  • An image of your artwork may be shown on the public gallery and on printed identification cards. You keep the copyright to your work; you are granting a license to display it, not giving it away.
  • Any optional audio reflection you record, which includes your voice, may be made available alongside your piece.
  • Your contact information stays private. Only system administrators can see it, and it is used only if there is a question or concern about your artwork, or to coordinate physical display details off the platform. It is never shown on the public gallery.

You give this permission through a clear opt-in during submission, and you can withdraw it at any time by removing your work (see below).

How artist contact information is handled

Artist contact details are used only so the church can reach the artist. They are never displayed on the public gallery. When a piece is offered for sale, a buyer reaches the artist through a path the church controls, not by seeing a private email or phone number.

How to remove a submission

Nothing is public until a church leader approves it, and removal is straightforward:

  • Artists can hide or permanently delete their own submissions at any time from their submission, or by asking a church administrator or emailing privacy@hymnandhue.org.
  • Church administrators can hide or remove any submission in their church.

Hiding takes a piece off the public gallery immediately; deletion is permanent, so we ask for confirmation. Keep your own copy of anything you want to retain.

Data retention and hosting

  • While your subscription is active: we keep and host your church's content so the gallery, cards, and archive remain available.
  • If payment lapses or you cancel: your account enters a 30-day grace period during which everything stays live and you can resubscribe with no loss. After that, we unpublish the public gallery but keep your archive available to download for a further 90 days so you can export it or resubscribe. That download window is limited on purpose. When it closes, we permanently delete the church's content. We will make a reasonable effort to notify your admins before deletion.
  • We do not host stale content forever. These retention limits are enforced automatically by the system, not left to memory. Once the window has passed, the content is deleted.
  • Getting your data: while your account is active or within the download window, you can request an export of your church's content by emailing privacy@hymnandhue.org. Your content belongs to you.
  • Billing records: retained as required for tax and accounting purposes.

How we use information

We use it only to provide and improve the service: to run your gallery, generate cards, keep your archive, support your team, and handle billing. We do not sell personal information, we do not share it for advertising, and we do not use artist images or content to train any model.

Service providers

We rely on a small set of trusted providers to host and operate the platform (for example, cloud hosting and payment processing). They may process data only to provide their service to us, under their own commitments to security and privacy.

Your rights

Depending on where you live (including under the GDPR and the California CCPA and CPRA), you may have the right to access, correct, delete, or port personal information, and to object to or restrict certain processing. We do not sell or "share" personal information for cross-context behavioral advertising. To exercise any right, email privacy@hymnandhue.org, and we will respond as required by law.
